Organize and maintain

Keep your Knowledge accurate over time by finding, refining, reusing, and removing sources.

Knowledge is maintained over time, not a one-time upload. The Knowledge table is where you keep it accurate as your material grows and changes — authorship is also curation.

Why maintenance matters

Answers come only from what is in your Knowledge. Stale, mislabelled, or duplicate sources lead to weaker answers. Keeping the table tidy keeps retrieval sharp — and lets one good source serve several Spaces.

The Knowledge table

Every source in your Space appears in the Knowledge table with its processing status, size, and dates, so you can see at a glance what is ready and what is still indexing. From here you find sources, refine their details, reuse them elsewhere, and remove what you no longer need.

Find a source. Use the search field to filter by filename, then scan status and dates to spot anything unprocessed or out of date.

Refine its details. Open a source's details panel to update its name or description. A clear name and description make sources easier to find and retrieve from.

Reuse it in another Space. From a source's actions menu, choose Add to Space to associate it with one or more My Spaces — no re-upload needed. The source stays in place; the other Space simply gains access to it for retrieval.

Download or remove it. Download a source when you need a local copy. Delete removes it from your Space.

What removal does

Deleting a source is permanent. It removes the source from your Space, and Chat can no longer retrieve from it. If the same source is associated with other Spaces, remove the association instead of deleting when you only want to detach it from one Space.

With view-only access, you can browse Knowledge but cannot upload, edit, or delete sources.
